JOB OVERVIEW

JOB TITLE:  Administrative Assistant

DEPARTMENT:  Taking Control Program, Independent Living of the Genesee Region (ILGR)

LOCATION: Batavia, N.Y.

DIRECT SUPERVISOR:  Director, Taking Control


GENERAL JOB DESCRIPTION

Responsible for the assisting with the creation and maintenance of both the Electronic Consumer Record (ECR) and Personal Assistants’ (PAs’) personnel/medical files, including uploading scanned documents to Western New York Independent Living, Inc.’s (WNYIL’s) Human Resource Information System (HRIS). Assist with the conversion of existing paper copies for former and current consumers’ files into electronic format.


SPECIFIC DUTIES & RESPONSIBILITIES

  1. Answering incoming calls and monitor/respond to voice mails on behalf of Taking Control program.
  2. Assist with entering new consumer information into the ECR.
  3. Assist with inputting all changes to consumers’ and Personal Assistants’ demographics into the electronic records.
  4. Assist with inputting all new PA Information, including PA medical information, into the HRIS.
  5. Scan and upload all files into the HRIS following identified Agency processes.
  6. Assist with mailing required correspondence for the program and monitor postage usage.
  7. Monitor and produce all PA/Consumer orientation/intake packets.
  8. Monitor supply and printing inventory for the Taking Control department and report needed supplies.
  9. Provide backup receptionist duties.
  10. Accurately document consumer services and required paperwork into WNYIL’s ECR within two (2) working days of the date of service.
  11. Supports Director in meeting minutes, compilation of documents for assigned project tasks and performs other job-related duties as assigned by Director.
  12. Digitize archives and upload to ECR.
  13. Provide backup support to program Administrative Assistants and PA Specialists.
  14. Attend Agency’s in-service training and staff meetings as well as any other agency related activities as required.
  15. Participate in maintaining a neat, clean and safe work environment.
  16. Perform other job-related duties as assigned by the supervisor.

EDUCATION & TRAINING

  • High school diploma or equivalency is required.

KNOWLEDGE & EXPERIENCE (if required)

  • Two (2) years of experience in general office work required.

SKILLS & ABILITIES

  • Must be able to type forty (40) words per minute.
  • Must have basic level of knowledge of computers, including the use of excel spreadsheets, databases, word processing and networks.
  • Selected candidate must have excellent organizational skills.

WORKING CONDITIONS

WORK ENVIRONMENT:  Office

PHYSICAL DEMANDS OF THE JOB:  Sitting for extended periods of time.
Occasional lifting of not more than 15 pounds.

HOURS / SHIFTS:  29 hours per week. M – F

CLASSIFICATION:  Part-time, hourly, non-exempt, Support staff.
Range:  $17.95 - $18.97 per hour
